A shared prompt library keeps growing: How does a team keep the prompts it can actually reuse?

We checked prompts.chat’s versioning features, self-hosting requirements, and dual licensing, then designed a source-extraction example for a reusable team prompt. We did not deploy the project or run model evaluations.

Our take

What to consider

A shared library should keep prompts for specific tasks, with example inputs and expected results. prompts.chat supports prompt management and change history, but saves and votes do not establish that a template works with your data. Check the original template against a fixed sample before changing its missing conditions, and record the model used for later comparisons. We checked the project documentation and licenses. The example below is an evaluation design, not a measured model result.

01

Keep prompt versions with their use conditions

The self-hosting guide lists prompt version control, change requests, and private prompts. A team can retain a checked template as the current version and review later changes instead of keeping separate copies in chat histories. Documented features do not establish that a community template has been validated for the team’s own work.

Keep an original input and explain how to judge the expected output. Record the model and date, along with any system instructions added by the application. Saving only the final natural-language prompt makes it difficult to tell whether a changed result comes from the template or the request that was actually sent.

02

Use missing fields to check for invented values

Suppose a team extracts product names and prices from public product information. Require null when the source omits a price, then supply a fictional sample containing only a name. The correct answer keeps that name and does not guess a price from familiarity with a product. HotAI designed the example below to check the format; it has not been sent to a model.

Add a second input that explicitly supplies a price and check that the template uses that source value. Run the same samples against the existing and revised prompts, preserving both outputs. Anthropic’s evaluation guidance likewise starts with measurable success criteria and edge cases such as missing input. This example does not establish any model’s accuracy.

Task: Extract only the product name and price stated in SOURCE.
Do not use outside knowledge. If a field is absent, return null.
Return exactly one JSON object with keys name and price.

SOURCE: Product name: Sample Lamp
EXPECTED: {"name":"Sample Lamp","price":null}
03

Prompt data and website code use different licenses

As of the review date, the repository’s LICENSE distinguishes prompt text and data under CC0 from source code and site-authored content under MIT. Reusing the site code still requires the notices specified by the applicable license; the prompt-data terms do not mean that all license files can be removed.

Customer material obtained elsewhere does not become eligible for public sharing merely because it is placed in a prompt library. A public contribution can retain the task structure while replacing real records with dedicated examples. This is a data-management suggestion, not a review of a customer contract or a determination that particular third-party material permits commercial use.

04

Check maintenance needs before self-hosting

The current self-hosting guide requires Node.js 24.x, PostgreSQL, and authentication configuration. Someone must maintain login access and database backups after deployment. With only a few templates, a team can first keep versions and examples in its existing documents, then consider a dedicated deployment when collaborative editing becomes difficult.

We reviewed the documentation and licenses without deploying prompts.chat or testing access isolation in a running environment. The project offers integrations including MCP; configure them only after establishing which prompts an agent can read. The label “self-hosted” alone does not establish that data never leaves the server.
