Ad hoc document chat versus shared knowledge bases: separate one-off files from maintained versions
Compare one-off file input with maintained retrieval, checking updates, access scope and citation traceability.
Choose an approach
Use document chat for small temporary collections and consider shared knowledge bases for repeated multi-user access to changing material. Uploading does not establish a maintainable index and a knowledge base does not guarantee current evidence. Assign source and update ownership and inspect actual model input and citations.
One-time input and persistent retrieval have different lifecycles
OpenAI file input supplies supported documents to requests; RAG parses, indexes and retrieves material. Ad hoc chat starts quickly but can scatter versions; shared systems centralize maintenance and add ingestion and withdrawal work. Access depends on real configuration, not the team label. When replacing a filename, check old conversation or index content so citations do not silently point to outdated versions.
Update the same document and check for stale facts
Use one public document and identical questions, verifying citations against originals. Change a known fact and test updated answers and withdrawal. Record indexing status for the knowledge base and retained old inputs for chat. Upload success is insufficient. Missing answers should remain unconfirmed rather than filled from stale material. No files or knowledge base were created and no product ranking is given.
Maintain indexes and ownership according to reuse
Assign shared-system owners for updates, expiry and retrieval settings; save exact file versions for ad hoc work. Repeated uploads add review effort, while central indexes add management. Validate a small collection before sharing. Include update checks and traceability, and show what material supported the answer and what was absent rather than merely displaying citation-like text.
