Practical office AI: verify documents, spreadsheets, and meeting outputs
Start with a checkable work product, choose the document or spreadsheet route, keep the sources, and verify the delivered file. A completed generation does not establish a correct business conclusion.
Specify what the file must preserve
Start with one defined change to an existing file, such as extracting unresolved meeting items or adding a reproducible spreadsheet calculation. Preserve the original and identify fields that must not change. Inspect structure and values in the real file, and verify attribution against the source. A chat explanation is not the file’s actual result.
Choose between editing a file and obtaining advice
Supplying selected text may be enough for a rewrite. For direct Word or Excel editing, confirm that the tool can operate on the actual file and check the platform and version. Microsoft documents that some Copilot editing experiences depend on licensing and app conditions. A button shown in a tutorial does not establish availability for your account.
Using formulas for deterministic calculations and a language model for semantic organization makes errors easier to locate. State heading levels and table structure for formatted files. A tool that returns plain text has not necessarily delivered an editable document.
Trace a document summary to its source passages
Use known points in the document to check coverage and include exceptions in acceptance. A long file may be truncated, or the task may not have specified a required passage. Keeping source locations helps distinguish extraction omissions from rewriting errors.
Read cited passages in the original. A source may support background without supporting the specific adjacent conclusion. If it does not identify a decision date or owner, preserve the unresolved status rather than inventing details for a more complete-looking file.
Protect field types before checking calculations
Treat identifiers as identifiers even when they contain digits. Check date time zones and export formats so another application does not shift a date. Compare known records before expanding the scope to catch lost zeros or replaced formulas.
A calculation should be reproducible from the original cells. Check that formulas remain formulas and reference all relevant rows. If new records do not affect the result, inspect the formula or range. Microsoft also asks users to verify generated formulas and insights; a fluent explanation does not establish correctness.
| What to preserve | Sample check | When it fails |
|---|---|---|
| Order or personnel ID | Compare character by character | Import again as text |
| Formula and calculation range | Recalculate after adding a known record | Correct references and repeat acceptance |
| Date | Reopen in the target application | Inspect time zone and serial-date conversion |
Distinguish suggestions from confirmed meeting decisions
A suggestion to try something next week is not a commitment to deliver it. Match important actions to recording timestamps and verify who proposed them and whether they were accepted. Mark unclear names or numbers for confirmation and replay the passage.
Check transcription and summarization separately. A missing negation in transcription can reverse the meaning of a later summary; changing its style will not fix the source error. Keep the relevant recording segment and confirm data-handling conditions before sharing.
Reopen the exact file before sharing it
Open the downloaded file in the application the recipient will use. Check navigation and key pages, editability, and whether tables remain editable rather than screenshots. A file opening successfully is only one condition; verify the agreed fields and formulas as well.
Keep both the original and accepted version, and scope the next change to a specific issue. Compare another model with the same inputs and acceptance rules. These methods do not establish that HotAI tested your file or every version of an office product.
